A small-business ERP rollout checklist

Prepare records, responsibilities, permissions and exception tests before moving a recurring workflow into an ERP.

Prepare the minimum record set

Choose one workflow and list the customers, products, suppliers and opening evidence it needs. Review duplicates and inconsistent identifiers before import. Keep the original files securely. Do not import every historical spreadsheet merely because an upload is available.

Assign responsibilities

Name the person who records work, the person who reviews it and the person who approves sensitive changes. Set roles to the smallest access required. Test with a restricted user as well as an owner, because an owner account can hide permission problems during evaluation.

Test exceptions deliberately

Include a partial receipt, partial payment, rejected approval or corrected record. Confirm that the history remains understandable and that a slow submission does not create a duplicate. Review balances against source evidence instead of treating a dashboard total as an acceptance test.

Make the go-live decision explicit

Agree which workflow is ready, which tasks remain outside the ERP and who will check the first operating period. Verify exports and explain the support route to the team. Use the knowledge base for the steps and troubleshooting checks relevant to the chosen module. Expand only after the first process is repeatable.
