Name the recurring problem
A startup may need a clearer quotation handover, an overdue-invoice view or a reliable stock record before it needs a large operational rollout. Write down one repeated problem, the records it touches and the person responsible for each step. Count the time spent checking or re-entering those records for a week. This gives you a baseline for a useful trial.
Run a representative trial
Test with fictional records first, then an approved small sample of your own data. Include more than the successful path: revise a quote, record a partial payment and check what a restricted role can see. Confirm the record identifiers, balances and available next actions. A polished opening screen is not enough to establish fit.
Budget for the whole change
Compare the current plan, required modules, user access and provider costs. Allow time for data preparation, staff learning and review. Saved credentials do not prove that an external integration works; test the exact connection you need. There is no universal implementation timeline, and changing products will not automatically remove unclear responsibilities.
