Record an expense with a clear payment status

Keep the amount, reference and payment state together so the team can distinguish a bill still pending from an expense already paid.

Before you start

You need expense access and the supporting document. Know the subtotal, tax amount, category and payment source if already paid.

Follow these steps

  1. Open Expenses and choose the creation action.
  2. Select the available category and enter the expense date and reference.
  3. Add the project if this is genuinely a project cost.
  4. Enter subtotal and tax, then choose Pending or Paid.
  5. If Paid, review the required bank account before saving.

Check the result

The record shows the submitted details and its workflow state. Approval requirements can affect the next available step.

If you get stuck

A missing category, amount or bank selection can stop the form. If approval is pending, use the approval process rather than submitting another paid expense.

One thing to remember

Saving or marking an expense paid can affect ledger and bank records. A software tax-credit checkbox is not evidence that the expense legally qualifies.
