List the information you check at the start of a working day. Compare that list with your actual workspace; a different industry view does not automatically create a missing specialist capability.

Choose a shared definition of done

For a quotation, does done mean prepared, approved, accepted or invoiced? Those are different states. Write down the next responsible person at each handover. This helps a two-person team as much as a team of twenty because it prevents one person’s assumption becoming another person’s missing task.

Make records findable

Use consistent customer names, useful item descriptions and clear references. Search before creating a second client. A growing team can otherwise split history across records that look similar. The client directory’s attention filters can help focus review, but they cannot correct unclear naming by themselves.

Give access by responsibility

Use individual accounts and review which modules and actions each role needs. Check the plan’s seats and capacity before inviting people. A new employee record is not necessarily a workspace login, and an owner account should not be shared as a shortcut around missing access.

Keep the dashboard in context

Industry and role settings influence what appears. A compact view can help someone focus, but a missing module may also be a permission or plan issue. Ask what the user needs to accomplish and verify that workflow instead of trying to make every person’s screen identical.

Use automation and AI deliberately

Begin with a small draft or a well-understood manual process. Read confirmations and verify results before expanding usage. A bigger team needs clearer responsibility for review, not a blanket assumption that AI is correct. Keep the help centre close to the task so a new colleague can find the actual steps.

A practical checklist for your next working week

Define one handover from quote to invoice. Check record naming and duplicate habits. Review each person’s role and required modules. Give the team links to the relevant help guides.
